GDPR Privacy Statement


The General Data Protection Regulation (GDPR) comes into effect on 25th May 2018. Redwoods Estates Agents aims to be fully compliant with all relevant requirements by that date. This privacy statement will inform you how and why we collect and process your personal information and what your rights are under the new regulations.

Types of Personal Information

Personal information is any information that relates to an individual and can be used to identify that individual. At Redwoods Estate Agents we require certain types of your personal information. This can include name, date of birth, address, email address, telephone numbers, National Insurance number, Employer’s name and address. We may also collect data from tenant’s relatives in the case a guarantor is required.

When messages are sent from any contact forms on our website, such as the contact page general enquiry form, the information is sent via email to our webhosts server, and subsequently downloaded to our email client software on our computers.

On some contact forms, a copy of the message is also saved securely in the website database so that details can be returned relating to the query. The contact forms this applies to are the request details contact forms for each property, and the free market appraisals form.

How We Use the Information

We use the information gathered to perform duties for which you have engaged us i.e. placing a property on the market for sale or rent. Using information to create Tenancy Agreements and relevant documentation in line with the Tenancy. We use information to pass onto subcontractors in line with carrying out any works required at properties.

When We Share the Information

We share this information only where required in direct execution of our duties, for example when a current or previous tenant requires a reference for a new property, where subcontractors assist in any works required at properties and where Solicitors are instructed to deal with the sale and purchase of properties.

How We Secure the Information

Redwoods Estate Agents takes confidentiality and data protection for staff and clients very seriously. All our computers are password protected. The computers are monitored daily for security breaches or unusual parameters and we maintain up to date firewalls and virus and malware protection. All staff are trained in safe computer use.

The office is locked and alarmed when staff are not present, and information not currently in use is archived.

How Long We Keep the Information

We keep your information only as long as is required to perform our duties and as may be legally required. After that time, information is securely destroyed.

Your Right of Access to the Information

You have a right to access personal information we hold about you. If you believe it is incorrect, you have the right to have it corrected.

You may request the removal of personal information; this may be subject to legal requirements and to the continuing provision of the services you require us to perform. We will advise you where it is not possible to remove your data from our files due to ongoing compliance commitments.

You may also request that we transfer your personal information to a third party if relevant.

How we use cookies

Our website puts small files (known as ‘cookies’) onto your computer to collect information about how you browse the site, and help us to improve your visit to our website.The cookies used on our website cannot be used to identify you personally, and cannot harm your computer. You can manage cookies by controlling which cookies are saved or by deleting them, if you wish.

Cookies necessary for the correct functioning of the website: Some cookies are essential to the proper functioning of the website. These cookies contain no personal information, and give no information to us regarding data analysis. Our websites runs a Content Management System and cookies are used to store basic data on your interactions with the website, and whether you are a registered user who may have logged into the site.

For example, we use a session cookie to remember your log-in for you if you are a registered user, as well as a Javascript detection cookie to determine whether you have Javascript enabled. We deem these as being strictly necessary to the working of the website. If these are disabled then various functionality on the site will be broken.

Third party cookies

Google Analytics: We also use Google Analytics to collect information about visitor behaviour on our website. Google Analytics stores information about what pages you visit, such as how long you are on the site, how you got here and what you click on.

This Analytics data is collected via a JavaScript tag in the pages of our site and is not tied to personally identifiable information. Furthermore, this information cannot be used to provide any personally customised content (such as targeted advertising).

We therefore do not collect or store your personal information (e.g. your name or address) so this information cannot be used to identify who you are.
